The Benefits & Wellness Coordinator is responsible for administering and supporting agency benefit programs while leading the coordination and growth of the Clay County Sheriff’s Office Wellness Program. This position serves as the primary point of contact for member benefits, resource education, and wellness initiatives, including the oversight of programs such as Critical Incident Stress Management (CISM), Peer Support, and family readiness events.In addition to ensuring compliance with agency, state, and federal regulations, this role manages benefit enrollment, Open Enrollment coordination, and monthly reconciliation with the Board of County Commissioners and payroll. The position also leads wellness-related communication efforts, maintains internal resources, and provides compassionate, confidential support to members and their families. The Benefits & Wellness Coordinator serves a critical role in supporting member well-being, agency retention efforts, and operational readiness.

Duties
- Serves as the primary point of contact for member benefits, including enrollment, qualifying life events, and ongoing plan support in accordance with agency and state guidelines.
- Educates and provides support to members regarding the Florida Retirement System (FRS) throughout their employment lifecycle, including new hire orientation, retirement planning, benefit options, retirement processing, and benefit termination or continuation.
- Processes and verifies documentation for benefit life change events, ensuring compliance with applicable guidelines and timely updates in the system.
- Hosts Open Enrollment information sessions, provides guidance to members, and coordinates with the BCC and internal departments to ensure successful agency-wide completion.
- Monitors member participation during Open Enrollment, follows up on outstanding submissions, and works with leadership to ensure full compliance.
- Coordinates with payroll and the Board of County Commissioners (BCC) to ensure timely and accurate monthly benefit deductions, billing, and reconciliation.
- Maintains personnel benefit records in the Benefits Administration system (Workday), including new hire enrollments, terminations, and updates related to life events.
- Prepares benefit-related reports and data for the County Benefits Coordinator and internal stakeholders, including new hire and separation updates.
- Provides post-incident support to members and families following critical events, including benefit guidance, mental health referrals, and compassionate resource coordination.
- Serves as the team leader of the Wellness Focus Group and leads the coordination of family readiness and employee engagement activities, in collaboration with agency units such as the Training Unit.
- Develops, implements, and evaluates agency-wide wellness initiatives aligned with the Five Pillars of Wellness.
- Plans and executes wellness events including flu shots, mammograms, biometric screenings, and the Annual Health & Wellness Fair.
- Assists in managing the Critical Incident Stress Management (CISM) Team, including peer response support following high-stress events.
- Assists in managing the Peer Support Team, providing structured support for members following life events.
- Drafts and maintains policy and procedural documentation for the Wellness Program, CISM, and Peer Support programs.
